As OfferUp continues to grow, our People team needs a motivated and detail-oriented People Coordinator to provide support for coordination of team and employee trainings, updating our People Confluence pages, documenting current processes, data entry in various systems, running the swag store, and assisting the people and employee experience teams with onboarding, off boarding, and special projects.
The People Coordinator will have a drive for people, processes, and organization to support the employee lifecycle. The ideal candidate will be an engagement ambassador who can work across the company while proactively managing a wide variety of projects. They will also know how to prioritize work with an understanding of the balancing act of managing multiple projects simultaneously. This role will have a growth path within the People team to Recruiting, Employee Experience, or the HRBP teams and is perfect for someone new-in-career or switching careers and looking for their first opportunity to join a People organization.
This role will work across two critical business area within the People organization and will have the opportunity to learn and ultimately manage much of the relationship with our vendor in Mexico and act as an advocate for our employees located in Mexico and/or any additional countries we may expand into in the future. Because of that the ability to speak Spanish is essential for this role.
Coordination and System Data Entry:
- Scheduling and coordination support for the People Partner and Employee Experience teams
- Assisting with the scheduling of employees for on-site Onboarding including travel and expenses
- Manage the updates for the OU Swag Store inventory as well as associated web portal updates and communications on shipping
- Help conduct exit interviews and update the HRIS with related exit information as needed
- Run audits of people data and system administer support for people systems
- Maintain employee training files and other employee-related data entry as needed
- Provide backup support to other people coordinators
People Programs
- Run reports for completion statistics for people programs such as engagement surveys, performance reviews, etc, and create follow-up messaging for people leadership
- Assist with tracking expenses for each onboarding class and other people programs as requested
- Update people program documents and policies on Confluence and assist with completion of an overall People team Confluence restructure
- Work with the Chief People Officer and the HRBP team to assist with the translation of our programs and policies into Spanish as well as documenting the essential employment procedures and timing of pay, holidays, etc provided by our employment vendor in Mexico. Assist with informal translation as needed for discussions or communications with the employment vendor.
- Help to cultivate a positive work environment through programs, activities and events that reinforce our values and operating principles
Requirements
- A minimum of 12 months of relevant professional experience with a heavy emphasis on time intensive scheduling and coordination, program management experience is a plus but not required
- Experience with inventory management and budget management is highly desirable
- Ability to speak and read/write Spanish fluently with experience translating documents into Spanish if needed
- Able to maintain a high level of of customer service and discretion with employee data
- Proactive adaptable self-starter with a proven ability to take initiative in the face of ambiguity and to prioritize daily as needed
- Positive attitude and desire to contribute in a team setting
- Excellent communication skills and a high attention to detail
- Experience documenting processes and procedures or policies a plus
